Why a Supplier List Is Not a Standard
Every itinerary is a promise made on behalf of other people, and the people who deliver it are not always visible on the page. We assess suppliers in the same fixed order we use to build a trip, and put the outcome in the file, as set out in how a China trip is built.
What We Check Before We Use Anyone
Four things come first: a valid business licence, plus any operating permit the work legally requires; insurance matched to the task; staff the supplier employs rather than borrows for the day; and capacity to hold our busiest week rather than their quietest. We also watch how quickly they answer a change request, because that is what a live trip feels like.
Restaurants and Kitchens
A menu photograph proves nothing. We confirm dishes by name, ask whether the kitchen can serve the required dietary version in the same sitting, and check the seating time against our arrival slot. Requirements that must hold every day are written in, following what to confirm in writing on dietary and access needs.
Venues and Event Spaces
A venue is tested in the layout we will actually use, not the one it advertises: load-in and load-out windows, power, technical support and the catering boundary. Deposit and cancellation terms are read before a date is held. See what a local operator does for a corporate event.
Drivers and Vehicles
Vehicle class, seat belts, luggage volume, the driver's licence category and rest hours are confirmed in the file. Insurance is arranged per traveller, so a change of headcount is a document change rather than an email. No vehicle or driver is substituted on the day without notice.
Guides and On-Site Staff
Language is the entry ticket, not the test. We brief a guide on the running order and judge whether they can hold it, hand over a change and stay with the group's own pace, which is the standard set out in what an English-speaking guide should mean.
The Trial, the Review and the Exit
New suppliers start on a smaller assignment before they carry a full file. After each departure we record what worked, what was corrected on the ground and what we would not repeat, then tell the supplier which of the three it was. A supplier who fails the same point twice is stood down, and we say so in writing. Do you use the same suppliers on every trip?
No. Each file is matched to the suppliers who fit it, and the list is reviewed after every departure rather than renewed by habit.
What happens if a supplier underperforms during a trip?
The coordinator fixes it on the ground first: replacement vehicle, replacement venue or replacement guide. The incident is then logged and reviewed with the supplier.
Can a supplier see these standards?
Yes. The criteria, the trial and the exit rule are written to be read by suppliers as well as clients, so both sides work to the same terms.
