School Groups in China: The Paperwork Comes Before the Tour

The Visa Decides the Shape of the Group

A head teacher planning a China trip usually starts with cities. The first decision that matters is a visa category, and it divides the group by purpose and nationality before it divides by anything else.

China sorts visas by intent. F covers exchanges, visits and study tours, and needs an invitation letter from the entity hosting the group. X2 covers study of up to 180 days. L covers plain tourism. A class sitting in a partner school's classrooms is not doing the same thing as a class walking the Great Wall, and the two can need different categories.

Nationality cuts across that. Malaysia's mutual exemption took effect on 17 July 2025: ordinary passport holders may stay 30 days per entry, 90 days cumulative in any 180-day period, for tourism, family visits, business, exchange visits, private matters and medical treatment. Study is named as an exception and still needs a visa. The unilateral 30-day scheme, extended to 31 December 2026 for 45 countries, uses the same "exchange visits" wording.

One coach can therefore hold three different answers. Build the grid first: name, nationality, purpose, category, and which Chinese institution writes the invitation. That letter comes from the host school or university, not from the travel company. The grid is also where a planning model shows its seams — semi-self-guided planning assumes the traveller owns the dates, and a school owns none of them, because term dates and exam weeks decide everything.

Every Student Is a Separate Record

Rail tickets in China are real-name and tied to a passport. One passport, one seat. No group field absorbs thirty names into a single booking. A coach can be chartered as one unit; a train cannot.

Spelling becomes logistics. Passport number and name string must match the document at every step — rail, hotel, museum slot, campus slot. A middle name kept on the visa form and dropped on the rail booking surfaces as a refusal at the turnstile. Diacritics behave the same way.

Timed sites run on the same logic: reservation per passport, quotas released on a schedule, no walk-up guarantee for thirty. Sequence the work — names, passports, rail, timed slots, rooming list — because a passport corrected late means redoing everything downstream. One File, One Coordinator: Running a Business Delegation in China describes the same mechanic for corporate groups.

Campus Access Is by Invitation, Not by Ticket

A campus visit is often the reason a school group comes, and the part most often assumed rather than confirmed. Chinese universities treat the campus as a teaching and research site. Entry is granted, not sold.

Tsinghua takes individual bookings through a mini-programme that verifies mainland identity cards only. Foreign nationals reserve by email to the campus security office with name, document type and number, a contact, the date and session, plus a scan of the document. Each booking covers at most four people; children under eight need none but must arrive with a booked adult. Peking University runs the same split.

Group channels exist and are narrower than schools expect. Parties are arranged by the school or local education authority through the university's own campus-visit page, with quotas, fixed gates and holiday-only windows. Twenty names typed into a public form is not a group booking.

Confirm the host before the itinerary. A slot that never existed turns two days of a programme into a coach ride past a wall.

The Front Desk Asks About Minors

Hotels have followed the "five musts" for minors since 1 June 2021: check and register the minor's identity, ask for and record a guardian's contact, ask and record how room occupants are related, keep patrols and visitor control, and report anything suspicious to the police while contacting the guardian.

A group arriving with a rooming list showing dates of birth, a letter on school letterhead listing each guardian's number, and the teacher on duty clears that in minutes. Without them it happens in the lobby at eleven at night. Hotel Check-In in China: What the Front Desk Needs covers the individual case; the group version is that list times thirty.

Room shapes decide the rooming list, not the reverse. Chinese hotels are built on doubles and twins; triples and quads appear mainly in resort and family rooms, and connecting rooms are a request, not a bookable category. Four students to a room gets rebuilt at the desk, at the worst hour.

Who Signs, and Who Carries the Passports

The remaining items rarely appear in an itinerary and always appear on the trip. Dietary and medical requirements belong in writing before any meal is booked — an allergy note that reaches the kitchen, not one that stops at the booking desk. Halal, Dietary and Accessibility Requirements: What to Confirm in Writing sets out what a supplier can commit to.

Medical consent needs a named decision-maker, a named hospital, a policy number and copies in two places. Chinese hospitals treat foreign patients without difficulty; the delay is paperwork and payment authorisation, both easier to arrange from a school office than a corridor.

Then the plain chain of custody. One adult holds every passport at check-in and collects them back. One file holds every name, number and booking, and one person can open it. The arrival airport is chosen for the terminal and the last train. Getting From the Airport Into Beijing, Shanghai or Guangzhou works through that first hour.

Write the ratio down: one adult to every eight or ten students on transit days, with a named deputy. It is the simplest safety device in the plan.

Frequently Asked Questions

Do students need a visa for a school trip to China?

It depends on purpose and nationality. Exchanges, visits and study tours fall under the F category and need an invitation letter from the host institution in China. Coursework of up to 180 days falls under X2. Malaysians travelling for exchange visits of no more than 30 days enter visa-free under the agreement in force since 17 July 2025, but study is excluded from that exemption and still requires a visa.

Can a teacher book train tickets for a whole class on one passport?

No. Rail tickets are real-name and tied to individual passports, one seat per document, with no group field. Book each student separately and keep the passport number and name spelling identical to the document. Corrections after booking mean cancelling and rebooking, and seats released at that point may not come back.

Can under-18 students check into a Chinese hotel without their parents?

They can, but the hotel must follow the rules in force since 1 June 2021: verify and register each minor's identity, record a parent or guardian's contact, and record how the room occupants are related. In practice a school group carries a rooming list with ages and a letter listing every guardian's phone number, with the accompanying teacher named.
