How We Design Your Private China Tour: A Behind-the-Scenes Look

What happens after you email ChinaTravelPlus to inquire about a tour? How does a blank page become a custom itinerary that takes you from Guangzhou's dim sum halls to Zhangjiajie's misty peaks? This is the process we follow for every guest — a five-step system refined over 1,000+ private tours since 2018. No automation, no templates, no generic packages. Every itinerary is hand-crafted by a human who loves what they do.

Step 1: The Consultation (Day 1-2)

It starts with a conversation. When you email us, we respond within 24 hours with a structured questionnaire that covers: your travel dates, number of travelers, ages and mobility levels, interests (food, history, nature, photography, shopping, culture), dietary requirements and allergies, accommodation preferences (3-star to 5-star), budget range per person per day, and any special occasions (birthdays, anniversaries, honeymoons). We ask about your previous travel experience in Asia and what you hope to gain from this trip. We also ask what you dislike — rushed schedules, crowded attractions, early mornings, long bus rides. This is the most important part of the process, and we invest real time understanding your answers.

Step 2: The Draft Itinerary (Day 3-5)

Based on your consultation, we build a draft itinerary. This is a detailed day-by-day plan including: recommended cities and the logical route between them, daily activities with timing, restaurant recommendations with cuisine types, hotel options at 3 price levels, transportation details (high-speed rail, private car, flights), entry fees and estimated costs, and a total cost breakdown. The draft is sent as a PDF with maps, photos, and practical tips. We include options at each decision point — for example, three different restaurants for dinner, or two afternoon activities to choose from. The draft also includes a section on visas, weather, and what to pack.

Step 3: The Refinement (Day 5-10)

You receive the draft and tell us what you think. This is where the real customization happens. Common refinements: change the pace (slower or faster), swap destinations (prefer Yunnan over Hunan), upgrade accommodation, add a cooking class or photography workshop, adjust dietary options, and change the budget level. We typically go through 2-3 rounds of refinement. Some guests finalize in one round; others enjoy the back-and-forth and go through 5-6 rounds. Both are fine. The goal is an itinerary that feels like it was made for you — because it was.

Step 4: The Booking (Day 10-14)

Once the itinerary is finalized, we handle all bookings: hotels (we negotiate rates 15-30% below public booking sites), high-speed rail tickets (we buy them 30 days in advance when they release), attraction tickets (pre-booked to skip queues), private guides and drivers (assigned based on language and expertise), and internal flights (if needed). You receive a final confirmation document with: all booking reference numbers, hotel contact details, guide and driver names with phone numbers, a day-by-day schedule with meeting times, and emergency contact numbers. We also send a pre-trip briefing via email or video call.

Step 5: The Delivery (Your Trip)

This is where we shine. During your trip, you have 24/7 support via WhatsApp or WeChat. Your guide meets you at the hotel lobby each morning. Changes can be made on the fly. Your guide is a local expert, not a script-reader. They eat with you, share stories, and adapt to your energy level. If you want to learn about local politics, history, or culture — they can answer. If you prefer a quiet, professional guide who respects your privacy — they can do that too. We check in with you every 2-3 days to ensure everything is going smoothly. We do not disappear after you pay.

What Makes Our Process Different

Templates: We do not use them. Every itinerary is written from scratch. Commissions: We do not accept them. Every restaurant and hotel recommendation is based on quality, not kickbacks. Shopping stops: We have zero. Your time is yours. Flexibility: You can change the itinerary up to and during the trip. Pace: We design for enjoyment, not checklist completion. Guides: We assign the right guide for your interests, not the first available one. Support: 24/7 during your trip, with a real person answering, not an automated system.
