Two things follow from that table.

First, the gaps are not wasted time on your hotel bill — they are the reason to plan factory days at all. During a phase, your supplier's sales team is standing in a booth for nine hours a day and will not be at the factory. During a gap, they are free, the production line is running, and you get the visit that turns a catalogue conversation into a real one.

Second, arriving a day or two before your phase opens is usually better value than arriving on day one. You use those days for factory visits, you walk the halls once on a quiet morning before the crowds, and you start negotiating with context rather than jet lag.

Match Your Sourcing Region to Your Phase

Guangzhou sits inside the Pearl River Delta manufacturing belt, and the fair's category split happens to line up with the geography. Use your phase to decide which direction you travel.

Treat the region column as a starting hypothesis, not a rule. Two suppliers in the same phase can sit two hours apart, and the only way to know is to ask them where the factory actually is — not where the trading company's office is.

How to Use the Two Gap Windows

The gaps are short, so spend them deliberately rather than trying to see everything.

October 20–22 — the first gap. This is the window between Phase 1 and Phase 2. If you came for Phase 1 and are staying for Phase 2, this is when you visit the two or three suppliers you shortlisted in the halls. If you came for Phase 2 only, arriving on October 21 lets you use the gap for factory days before your halls open on October 23.

October 28–30 — the second gap. The same logic between Phase 2 and Phase 3. It is also the window most buyers waste, because by then they are tired and their flight is booked. If your sourcing list is serious, this is often the higher-value of the two: you now know exactly which three suppliers matter.

The shoulders. The days immediately before October 15 and immediately after November 4 work the same way. The post-fair days have one advantage the gaps do not: your supplier has finished with the fair entirely and can give you real time, not a slot squeezed between booth duties.

Three Gateways Out of Guangzhou

Knowing which interchange to head for saves an hour of standing on a platform with a suitcase.

Foshan — for furniture, ceramics and building materials. The Guangfo Line is the cross-city metro into Foshan, and it interchanges with the Guangzhou network at two useful points: Shayuan on Metro Line 8 and Lijiao on Line 3. Foshan Metro Line 2 also runs directly into Guangzhou South Railway Station in Panyu, which is why a Panyu base makes sense for a Phase 2 buyer. Note that the big furniture and ceramics clusters sit beyond the end of the metro network, so most buyers arrange a car rather than chaining buses.

Dongguan and Shenzhen — for electronics, hardware, footwear and bags. Both are served by rail from Guangzhou, with Guangzhou South and Guangzhou East the main departure points. This is the direction to take for a Phase 1 or Phase 3 list.

Zhongshan and the western side — for lighting. Intercity rail from Guangzhou South serves this side of the river, and it is a commonly paired trip with a Phase 1 lighting list.

For the fair itself, remember the routing that anchors everything: Metro Line 8 passes the complex, with Exit A of Xingangdong Station for Area A, Exit A or B of Pazhou Station for Area B, and Exit C of Pazhou Station for Area C.

How Many Visits Fit in One Day

Fewer than most first-time buyers plan for.

  • Two visits is a comfortable day if both factories are in the same cluster or the same town.
  • One visit is a realistic day if the factories are in different districts, or if you want to see a full production line rather than a showroom and a meeting room.
  • Three visits usually means three showrooms and no factory floor, which defeats the point.

Build in slack. A visit that runs long is usually the visit that matters — the one where the supplier walks you through the line, introduces the QC lead, and starts talking about your specifications rather than their catalogue.

What to Confirm Before You Travel

Send this list to each supplier at least two weeks ahead:

  • The factory address, not the trading office address, and which city and district it is in.
  • Who will receive you, and whether a translator is needed.
  • Whether the production line for your product category will actually be running on that date.
  • Whether samples you discussed at the fair are ready to inspect in person.
  • Whether a car can be arranged from the nearest station, or whether you should arrange your own.

One more: confirm whether the visit is to the factory that will actually make your goods. Trading companies are normal and useful in the delta, but a visit to a partner's showroom is not the same thing as a visit to the line.

After the Visit

  • Write it down the same evening. Photos of the line, the business card of whoever you met, and two lines on what you agreed. Ten visits blur into one another within a week.
  • Separate the fair quote from the factory quote. If the numbers differ, ask why before you assume either is wrong.
  • Keep your buyer badge. It has been valid across sessions since it was introduced, so your second trip starts with far less paperwork than your first.
